What is a System?

A system is an interconnected set of processes, and a process is a set of activities that produce products or services (results or outcomes).

How do I Document my Systems?

There are three key steps involved in writing down your business systems:

Describe the Major Work Processes

Start by getting all your staff to identify what they do. Group these activities into the major processes.

Map the Processes

Map the major work processes by starting and ending with your customer. In between the the start and end point are processes that achieve products or results. Draw the relationship between the processes.

Write Down the Activities within the Processes

Ask your staff to write down how they do it. That way, you'll have at least documented what happens in your business so it's not just in the head of you or your staff.

The writing down of your business systems and processes will give you a basis for measuring, analysing and improving your systems.
